All funds received by the University of Central Oklahoma Office for Advancement are entered into the Blackbaud Raiser’s Edge database as to provide for appropriate record keeping regarding donors and contributions.
Data collected from incoming donations, including paper or electronic mass mailings, serves as a valuable resource in designing future campaigns and tracking donations. UCO Advancement has considerable experience in identifying information that can and should be collected through mass mailings, emails and fundraising activities, including but not limited to webpages and events.
UCO Advancement would like the opportunity to review all fundraising pieces, prior to promotion. This will ensure the capture of key information during the appeal, which will be databased at the time of gift entry as a future resource.
In order for UCO Advancement to review mailing pieces, the following steps are provided:
• Complete the associated form and attach it to any supplemental documents a minimum of 10 working days (two weeks) prior to promotion or printing, but a month in advance is preferred if possible
• The form will be reviewed by appropriate members in UCO Advancement.
• This form must be accompanied with any list requests which are completed through Advancement Services.
• UCO Advancement will review any suggested changes with you, as necessary.
• UCO Advancement will assign a Tracking Code to facilitate data entry upon receipt of funds and pledges.
o The Tracking Code should be incorporated into the design of all return cards and forms, in an inconspicuous but clearly visible location, preferably the lower right-hand corner of the card front.
• It is required that UCO Advancement has the opportunity to review the final form of the document.
Advancement staff will work with your time frame to ensure timely communication.
